This policy explains what personal data I collect when you visit keyframeedits.com, book a call or work with me, what I do with it, and the choices you have.

I keep it short because I collect very little. There are no analytics, no advertising trackers and no mailing list on this site.

Who I am

Keyframe Edits is a video editing and content operations service run by Kevin, a sole trader based in Liverpool, UK. I'm responsible for your personal data as the "controller" under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What I collect and why

When you book a call

The booking calendar on this site is provided by Calendly. When you book, Calendly collects your name, email address, the time you choose and your time zone, plus your answers to the booking questions (for example, a link to your content and what you're looking for help with). If you join the call on Zoom or Google Meet, that service handles the call itself. I don't record calls.

I use this to prepare for and hold the call, and to follow up about working together. The legal basis is taking steps you've asked for before we enter into a contract, and my legitimate interest in replying to people who get in touch.

When you email me

I receive your email address, name and whatever you choose to include. I use it to reply. The legal basis is my legitimate interest in responding to enquiries.

If you become a client

I'll hold your contact and billing details, our messages, and the footage and files you send for editing. Your footage may include images and voices of you and other people. I use all of this only to deliver the work we've agreed. The legal basis is performing our contract. I keep invoices and payment records because tax law requires it.

When you visit the site

Like any website, the server that delivers these pages handles technical information such as your IP address, browser type and the pages requested. This is used to deliver the site and keep it secure, which is my legitimate interest. I don't use it to identify you.

Cookies

This site doesn't set any cookies of its own. The fonts and sample videos are stored on the site itself, so they don't send your data to anyone else.

The booking calendar is loaded from Calendly. Calendly may set cookies that the calendar needs to work and, only with your permission, others. Calendly asks for that permission inside the calendar where the law requires it. You can read more in Calendly's privacy notice.

Cloudflare, which hosts the site, may use strictly necessary technology to protect it from attacks and abuse.

Who I share it with

I never sell your data or share it for marketing. I use a small number of trusted providers to run the business, and they only process your data on my instructions:

I may also share information if the law requires it, or with a professional adviser such as an accountant.

International transfers

Some of these providers are based in, or store data in, the United States or other countries outside the UK. Where that happens, the transfer is protected by safeguards recognised under UK law, such as the UK-US Data Bridge or the UK's approved data transfer agreements.

How long I keep it

• Call bookings and enquiries that don't lead to work: up to 12 months after we last spoke, then deleted.
• Client footage and project files: for as long as our agreement says, then deleted.
• Invoices and payment records: six years, as UK tax rules require.

Your rights

You can ask me to:

• give you a copy of the personal data I hold about you
• correct anything that's wrong
• delete your data, where I don't need to keep it
• stop or limit how I use it, or object to it being used
• send your data to you or someone else in a common format

Email kevin@keyframeedits.com and I'll reply within one month. It's free, though I may need to confirm who you are first.

Complaints

If you're unhappy with how I've handled your data, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

If anything here changes, I'll update this page and the date at the top.
